COVID Safety Protocol
Due to the rapidly evolving nature of the Coronavirus (COVID-19) Pandemic, these COVID Safety Protocols are subject to change. Please continue to monitor this page for updates and additional information.
Last Updated: February 28, 2022, 5:28 PM EST
While AAPM will make every effort to reduce the risk of COVID-19 transmission at our in-person meetings, individuals participating on-site should be aware that they may come into contact with persons in airports, hotels, etc. who carry the SARS-CoV-2 virus which causes COVID-19.
All AAPM staff working at the meeting will be fully vaccinated. AAPM is not, however, legally able to require any third-party to be vaccinated. We are working with local entities in Dallas, at Southern Methodist University, and at the UT Southwestern Medical Center to develop on-site protocols in accordance with CDC guidelines to provide the safest environment possible.
Please Note: In accordance with UT Southwestern Medical Center Policy, all visitors that will enter clinical areas must provide proof of full vaccination against COVID-19 prior to entry. Any visitor unable to provide proof will not be granted access to the hands-on workshop.
AAPM will provide more information and instructions for completing pre-arrival requirements closer to the meeting.
What type of COVID-19 vaccination does UTSW Medical Center require? UTSW Medical Center will accept a full course of immunization with any vaccine that has been authorized by the U.S. Food and Drug Administration (FDA) and/or the World Health Organization (WHO).
Vaccination with an agent that has not been either fully authorized or authorized for emergency use (or equivalent) by the FDA and/or WHO at time of travel will not be accepted.
The opportunity to purchase on-demand recordings of didactic sessions will be offered post-meeting for those unable to travel.
Pre-travel testing can detect early asymptomatic infections and help avoid potential transmission to others. AAPM strongly encourages the use of a rapid antigen or PCR test immediately prior to transit as an added layer of protection.
Please be advised that pre-travel testing is required by law for all international travel to/from the United States.
The wearing of protective face masks is recommended for all in-person participants. Current Centers for Disease Control and Prevention (CDC) guidance recommends the use of a face mask based on COVID-19 Community Levels.
If you decide to wear a mask, it should provide the highest degree of protection possible. Procedural/Surgical, N95, and KN-95 masks are strongly preferred. Well-fitting cloth masks are also acceptable. Gaiters, bandanas, and masks with exhalation valves are not recommended.
Please Note: In accordance with Dallas County Order and UT Southwestern Medical Center Policy, all healthcare facility visitors must wear a face covering.
Failure to properly wear a face covering will result in removal from the facility and possible badge revocation/restriction from the 2022 AAPM Summer School.
Meeting rooms, dining areas, and other event spaces will be set-up to accommodate for social distancing when possible. Enhanced cleaning measures to sanitize high-touch surfaces, lecterns, etc. will be implemented.
Individuals who experience symptoms on-site and/or require proof of negative test prior to boarding an international return flight should take advantage of resources provided by Dallas County and/or commercially:
Requirements for entry into the United States are rapidly evolving. AAPM recommends checking current travel regulations and restrictions via the CDC website—as well as at home/abroad—prior to planning any travel to ensure entry to and exit from the United States will be granted.
Visa applicants are advised to apply as soon as they decide to travel to the United States (min. three to four months in advance of expected travel date).
The following sites have additional information on applying for a visa:
