Please Book "Within the Block" at AAPM Meetings

Benefits to you:
  • Guest room Wi-Fi is included in your room rate. While some hotel brands already include Wi-Fi as part of the room rate, other hotels charge as much as $50.00 or more per day.
  • When you reserve a hotel room in the contracted meeting block, you will be the last to be 'walked' or relocated if the property is oversold. You may save a few dollars when reserving hotel rooms through bargain websites, but they will not protect you in these situations.
  • Our hotels tend to be the closest to the convention center at discounted rates.
Benefits to AAPM:
  • Our room block history (i.e., rooms booked and attributed to AAPM) is shared when contracting future venues. The stronger our room block history, the stronger leverage we have for lower room rates and fewer contracted penalties in the future.
  • Our room block history impacts the amount of meeting space a city or venue is willing to provide us, as well as the lowering the rental fees. An excellent room occupancy history results in better leverage when negotiating with both hotels and convention centers for meeting space.
  • We know there are often attractive alternative hotels or reward programs that provide incentives. Please think twice before booking "outside the block" and we will continue to negotiate the best convention centers and the best hotels at the best rates for future AAPM meetings. You can help us.

Deposits

Reservation requests must be accompanied by a Credit Card guarantee equal to one-night room plus tax, per room requested. Your credit card WILL NOT BE CHARGED during this initial stage and will be held as a GUARANTEE only.

Acknowledgments

A registration and reservation confirmation will be sent immediately upon completing the reservation process, unless one or more nights of the reservation period are waitlisted. Maritz Global Events will work with the hotel to confirm all nights of your room reservation if this occurs. Once confirmed, you will then receive your room reservation confirmation.

You may also review your confirmation by returning to your record in the reservation process and clicking the “Confirmation” link.

Please Note: You will not receive a written confirmation from the hotel. Maritz Global Events will be in receipt of the hotel confirmation number in July 2024, at which time it will be added to your registration and reservation confirmation.

Room Reservations Deadline

All room reservations must be received no later than Wednesday, June 19, 2024, to guarantee availability and conference rates. After this date, room reservations will be made based on availability and hotels may charge higher rates.

Changes, Cancellations, Refunds

All change and cancellation requests must be submitted in writing directly to Maritz Global Events no later than Friday, June 28, 2024.

Additional Information:
  • June 19 through June 23, 2024 — Reservation information will be transferred to your selected hotel.
  • On or after June 24, 2024 — All changes and cancellations must be made with the hotel directly.
  • No-show Policy — Failure to check-in on the anticipated day of arrival will result in a "no-show fee" equal to one-night room and tax, and cancellation of the reservation. If your travel plans are delayed, please be sure to notify the hotel directly to avoid this fee.
  • Early Departure Policy — In the event you wish to depart earlier than scheduled, the hotel may charge an "early departure fee". To avoid this fee, confirm your departure date with the hotel before or during check-in.

Exhibitors Room Blocks

The process for reserving Exhibitor Room Blocks depends on the number of sleeping rooms required.

For Exhibitors reserving 10+ Sleeping Rooms: Reservation requests should be made through the online portal. The link and login credentials will be sent to the Main Exhibitor Contact for each company. The system will open on March 22, 2024. Please note that names for sleeping room assignments are due no later than June 8, 2024.

For Exhibitors reserving 1-9 Sleeping Rooms: Online Housing and Registration will be available on Wednesday, April 19, 2024. Maritz Global Events will be holding rooms at each hotel for individual exhibitor hotel reservations.

All requests—regardless of sleeping rooms required—must be received no later than Friday, June 30, 2024.
